QuickBooks Runs on One Office Computer—What Happens If That PC Fails?

Identify the real host computer

Ask which machine stores the company file—not only which computers open QuickBooks. In a multi-user setup, workstations may connect to a file hosted elsewhere. Labeling the host and documenting its role prevents confusion during an outage.

A copy is not useful if nobody knows where it is

QuickBooks backups should have a clear destination, schedule and responsible person. A backup saved only to the same failing drive is not protection. Copies should be stored separately and periodically tested.

Updates should be coordinated

Use individual Windows accounts

Shared passwords make access difficult to control. Each employee should have the access needed for their role without automatically receiving administrator privileges. When someone leaves, their access should be removed without disrupting everyone else.

Document the path back to work

If the host computer fails, who has the license information? Where is the most recent verified backup? Which printer, folder and workstation connections must be restored? A one-page recovery checklist saves hours when the office is under pressure.

Know when a desktop has become a server

A small office may not need an expensive server, but it should recognize when one desktop is performing a server’s job. That machine needs dependable storage, monitored backups, power protection and a replacement plan.
